Priority Scheduling Access

Similar to other high-demand campus facilities, the Bloomberg Student Center follows a phased scheduling approach to ensure fair access and intentional use of space. This approach ensures that students receive priority access to the building and have the opportunity to engage fully with the space, especially during its early launch phase.

Who Can Reserve Spaces

This scheduling process is designed to ensure that spaces are used intentionally and equitably. View our step-by-step Priority Scheduling Guide for more information on how to reserve space. Student Organizations

Only officially recognized student organizations with a designated scheduling representative on file may submit requests to book space in the building.

Huddle Spaces

These casual, drop-in areas are available to all students via same-day Express Scheduling on a first-come, first-served basis, no approval required.

University Departments

JHU departments outside University Student Services (USS) may submit requests beginning July 1, 2026. Because the BSC is dedicated to enhancing student engagement, the building is reserved for student-facing events after 3 p.m. Monday through Friday and all day on Saturday and Sunday. Student-facing events are those where 90% of attendees are comprised of current or incoming students. Departments may schedule non-student-facing events between 8 a.m. and 3 p.m. Monday through Friday.

Note that the building’s hours may be modified during academic breaks (e.g., summer, finals, spring break, fall recess, and winter break/intersession). During these breaks, departments can utilize space for meetings and events that may not be student-focused and extend beyond 3 p.m. during weekdays and on weekends based on building hours during that break period.

What Others Can Access

All students can view spaces in 25Live to see what events and activities are taking place in the Bloomberg Student Center. If you have questions about eligibility or how to book, please reach out to our Scheduling and Event Services team. However, only designated student representatives and approved departments will be able to submit reservation requests (see above).

Guest Attendees

For events with non-affiliate attendees, a list of guests must be submitted in advance of the event. Guests will show ID and be checked in at the Welcome Desk on the second floor.


Helpful Tips for Booking Space 

Start with a keyword search. Use specific keywords like “Bloomberg Student Center”, “BSC”, or the room number (if you know it) in the 25Live search bar. This will help you narrow results and find your space faster.  

Use the availability view. Switch to the “Availability (Daily)” or “Availability (Weekly)” view and check the box “Include Requested” for a clear visual of when spaces are open or if a request is waiting for approval. It’s a quicker way to see what’s available at a glance. 

Submit your request early. High-demand spaces book quickly, especially during busy times in the semester. Request your space as early as possible to get the time and location you need.  

Be specific in your request. Provide as much detail as you can when submitting your reservation—expected headcount, setup needs, equipment, and any special considerations. This helps speed up the approval process. 

Try “Saved Searches” for common event types. Select “Saved Searches,” type in “Homewood,” and all event spaces, tabling locations, classrooms, auditoriums, etc., will show up for the most common event types 

Look for a confirmation email. Submitting a request is not the same as having a confirmed reservation. Watch for an email confirmation once your request has been reviewed and approved.  

Include pre- and post-event time. Be sure to factor in time before and after your event for setup and teardown. This avoids scheduling conflicts and gives you the time you need to prepare.  

Save favorite locations. You can “star” your favorite spaces in 25Live to easily access them again in the future. This is especially helpful if you regularly host meetings or events.  

Use 25Live on your mobile device. 25Live is mobile-friendly, so you can browse availability or submit a request right from your phone or tablet—no laptop required.

Catering in the Bloomberg Student Center

Interested in having catering for your event at the BSC? This information will help those scheduling events to understand and navigate the protocols for catering and food at the BSC.

Staff, Faculty, and Departments

  • 1876 Distinction has the first right of refusal for catered events with 20 or more attendees. 1876 will reach out upon receiving the event request in 25Live and communicate with departments on assessing their catering needs. Event hosts must consult with 1876 Distinction first in order to have food at the event.
  • If 1876 Distinction declines or is unable to meet price or service expectations, they will grant the event host an exception to use one of the approved caterers for the BSC. Staff, faculty, and departments with an exception must select from the approved catering vendor list (below).
  • Exceptions may be requested through Hopkins Dining/1876 Distinction.

Registered Student Organizations

  • Student organizations may not prepare food/beverages and bring into the BSC for any event, meeting or tabling activity.
  • Encouraged to use in-house food hall vendors, who will offer group pricing for serving trays, or student organizations may select from the approved catering vendor list.
  • May use EZcaterer vendors for food delivery; if seeking to use a food vendor not on the EZcaterer list or approved vendor list, need to get an exception through Hopkins Dining/1876 (which would include a conversation about food safety).
  • In all cases, when using catering/food delivery service, the student organization is responsible for maintaining food safety (temperature control, sanitation).

Additional Requirements for On-Site Catering (Not Food Delivery)

  • Exceptions must include proof of a certificate of insurance and a valid catering license, which should be submitted to Hopkins Dining/1876.
